How to Use Microsoft Office as PDF Creator and Converter?

Microsoft Office is one of the most widely used word processing application but the presentation is better in PDF. Distributing files in PDF format is also safer as you can avoid people changing the contents of the files further. With the new Microsoft Office Add-in, you can save all the Microsoft Office file extensions in PDF Format.

You can not only use MS Office as PDF Creator but also as PDF Converter from other Office File formats by using the ‘Save As‘ option.

PDF Using Microsoft Word

The following Formats can be converted to PDF with this new Office 2007 add-in.

Microsoft Office Word 2007
Microsoft Office Excel 2007
Microsoft Office PowerPoint 2007
Microsoft Office Access 2007
Microsoft Office InfoPath 2007

Note: With this add-in you can also save the Office files in XPS format (XML Paper Specification)

  5. @david, You can convert Office 2003 file extensions to PDF using Office 2007. But if you are asking for PDF Converter add-in for Office 2003, then aren’t any such thing. But you can use non-mircrosoft products to do that from Office Market Place.

  11. How do I print an entire workbook to PDF and make all the sheets appear? Even when I choose the option “Entire workbook” when printing to PDF, only the first sheet is saved in the PDF version. I’m not talking huge workbooks here, I refer to a simple workbook containing three sheets with 75, 33 and 51 rows respectively, none of them more than 15 columns wide. (BTW, does it matter that some of the sheets require landscape view and some portrait?) I use Windows XP and have tried both Office 2000 and CutePDF Writer but can’t manage to print an entire workbook to PDF. Maybe there is a setting I need to change. Could someone out there please help!

  12. @Erich, It works best when you have Office 2007. If you dont have that installed try using Google Docs to save Word or Excel as PDF. Read “Free Alternative Way to Convert Office Docs to PDF Format Using Google Docs“ for my tutorial. I just tried what you have asked for and it worked perfectly.

  13. Thank you. I also tried it and it definitely worked. What would be the best way to save a workbook that contains worksheets of which some are best viewed in portrait view and others in landscape view? Export the sheets individually? How then do I get all of them into the same workbook in the PDF version?

    WHEN I CONVERT THE WORK BOOK TO A PDF THE IMAGES SHIFT UP A FEW POINTS ON EACH LINE.

  20. Is it possible to add this Office 2007 addin into Windwos Explorer Menu? For example, right click on a file in Windows Explorer and you can select this addin to convert it to a pdf document.

There was a version of the MS Add-in for Office 2003… There was a link in the Microsoft Download Notifications and I downloaded it for my office 2003 from the download center and it required the validation of the original software… after that I got the 2007 version and the office update made the rest…

    Somewhere must be that version for those who dont have office 2007. I hope you can get it.
